Depositing Sales Revenue
For any cash, checks, or in-person credit card payments your department receives, you’ll need to follow the steps outlined on this page, in accordance with University Policy on Billing and Receiving Payment For Tuition, Fees, Goods, and Services (POL-U5351.01), to prepare and deliver your deposit to the University.
If your department makes sales through eMarkets, all credit card payments are deposited directly into your department’s fund — no extra steps needed. Check out our eMarket webpage for more details!
How to Deposit Funds
Use the Departmental Deposit/Receipt Form to prepare your deposit, and be sure to verify:
- All checks are endorsed.
- Checks are listed individually and calculator tape is attached.
- No post-dated checks are included.
- Checks are in U.S. funds.
Deliver your completed deposit to the Student Business Office, located in OM 110.
- All deposits must be delivered daily.
- The SBO is open to receive deposits Monday – Friday, 9am – 3:30pm, excluding University closures or holidays.
Deposit Bags are available for the purpose of securely transporting University funds for deposit to the Student Business Office. Email cashier@wwu.edu for deposit bag information.
All funds received by approved decentralized and short-term cash receipt locations must be deposited with the SBO within one business day following receipt of payment, unless Treasury Services grants a 24 Hour Waiver Form (FRM-U5351.01A).
Subsequently, all funds received by the SBO must be deposited with the University’s bank within one business day.
Petty Cash and Change Funds
If your department accepts payments, you may also need access to a petty cash or change fund. These funds help you make change for customers or cover small, incidental expenses related to handling payments.
- To establish a fund, use the Petty Cash and Change Fund Authorization Form.
- To adjust an existing fund, use the Petty Cash and Change Fund Maintenance Form.
- For short-term situations that require extra cash on hand (for example, bookstore buy-back events), use the Temporary Change Fund Authorization Form.
